Terms and conditions
These terms explain the general rules for accessing and using Soltechn ERP. The proposal, service order, or agreement signed with each customer defines the applicable plan, price, term, support, and service levels; if there is a difference, that written agreement prevails.
Service scope
These terms govern access to the ERP platform, its modules, integrations, reports, automations, and support channels enabled for the contracting organization.
Each organization is responsible for configuring users, permissions, approval flows, and internal usage policies according to its operational processes and legal obligations.
Account, users, and access
The organization appoints its administrators and authorizes the accounts that may access the platform. Each account is personal, must contain accurate information, and may only be used within its assigned scope.
- Keep personal credentials private and do not share them with third parties.
- Respect the permissions, roles, and restrictions defined by the company.
- Promptly report suspicious access, lost credentials, or personnel changes.
Customer data and confidentiality
The organization retains the rights to and control over the information it enters into the ERP. It authorizes processing only to the extent necessary to host, back up, transmit, protect, and provide the contracted functions.
Each party must protect confidential information it receives and limit access to people who need it to perform their duties or meet a legal obligation.
Processing data on the customer's behalf
The agreement or data-processing addendum for each deployment must document customer instructions, categories of data and people, purposes, participating providers, processing locations, and applicable safeguards. Soltechn will not use operational data for its own purposes that conflict with those instructions.
Soltechn will reasonably assist the customer with data-subject requests and incidents involving data processed on its behalf. Material subprocessor changes will be communicated under the agreement, with an opportunity to raise a reasoned objection before they take effect where applicable.
Permitted use and restrictions
Users may use the platform only for authorized work, administrative, commercial, or operational purposes. Bypassing controls, accessing another party's data, distributing unlawful content, sending unsolicited communications, introducing malicious code, or degrading the service is prohibited.
The Acceptable Use Policy further explains these restrictions and forms part of these terms.
Service, support, and integrations
The scope of modules, users, storage, support, implementation, maintenance, updates, and availability is defined in the applicable commercial agreement. Soltechn may make reasonable changes to fix defects, strengthen security, or improve the service.
Third-party integrations are also governed by their providers' terms. The organization decides which integrations to enable and is responsible for having the authorization required to transmit data to those services.
Shared responsibility
Soltechn manages the service components under its control. The organization remains responsible for the lawfulness and quality of its data, user management, permission settings, devices, integrations, and decisions made from reports.
Automations, suggestions, and assisted features must be reviewed by a person before they lead to employment, financial, legal, medical, or similarly significant decisions.
Security, continuity, and incidents
Soltechn must apply reasonable security measures to components under its control, manage incidents, and cooperate with the affected customer. The customer must protect its accounts and devices, manage permissions, and report suspected incidents through the agreed support channel.
Availability levels, backup frequency, restore testing, recovery objectives, and incident-notice periods are set in the agreement or service addendum; this page does not set one uniform period or level for every deployment. If the customer is subject to sector-specific requirements, both parties must document additional controls and obligations before using the service for regulated data.
Invoicing, reports, and decisions
The customer must configure and verify its tax details, numbering and authorizations, rates, exemptions, and documents before issuing them, and retain records required by applicable law. ERP reports and AI suggestions do not constitute tax, accounting, legal, or other professional advice.
Soltechn will address and correct reproducible software defects under its control according to the agreed warranties and support levels. This allocation of tasks does not remove liabilities that the law does not allow to be excluded.
Artificial intelligence: use and limitations
Some modules may provide AI-generated assistants, drafts, summaries, or suggestions. Availability depends on the organization's settings and enabled provider. Using these features may transmit inputs and relevant context as described in the Privacy Policy.
AI responses may be inaccurate, incomplete, or outdated. They are supporting material and do not replace original records, fact-checking, or professional judgment. Users must review and approve the output before using it or taking action.
- Do not use an automated response as the sole basis for employment, financial, legal, medical, or similarly significant decisions.
- Do not enter sensitive data, secrets, or third-party information that is unnecessary or unauthorized for the task.
- Availability and quality may vary due to technical or provider limits; no specific result is guaranteed.
- Before enabling an AI provider for operational data, the organization must be able to learn which provider is used, the applicable location and retention, and whether its terms allow inputs or responses to improve models.
Suspension, termination, and export
Access may be limited when necessary to contain an incident, comply with a valid order, prevent harm to others, or respond to a serious breach. When the risk allows, the organization's administrator will be notified and given an opportunity to address the cause.
When the service ends, data delivery, export, retention, and deletion will be handled according to the agreement, verified customer instructions, and applicable legal obligations.
The agreement must define a reasonable time and format for exporting data, the handling of backups, and exceptions for legally required retention. Termination does not transfer ownership of customer data to Soltechn.
Intellectual property
Soltechn and its licensors retain the rights to the platform, its code, design, documentation, and components. The customer receives only the right of use defined in its agreement and retains the rights to its own data, trademarks, and materials.
Claims and liability
The parties will report breaches through contractual channels and have an opportunity to investigate and remedy defects where possible. Warranties, remedies, and any financial liability limits must be stated in the commercial agreement; no limit is intended to exclude duties or liabilities that cannot legally be limited.
Disputes will be handled under the law and process agreed in writing with the customer, without restricting non-waivable rights of users or consumers.
Effective term, changes, and applicable law
These terms may be updated due to legal, technical, or service changes. Material changes will be communicated through a reasonable channel before they apply, unless a legal or security need requires immediate action.
The duration, renewal, charges, taxes, warranties, liability limits, applicable law, and dispute resolution mechanism are those stated in the proposal or service order accepted by the customer.
